Members, covers and renewals
Every member and every cover sits in one record, from the day they join to the day they renew.
Members
Each member gets an automatic member number, their licence photos, payment history and an activity timeline. You invite them to the portal and control their access. A website enquiry becomes a member in one click. One person can belong to more than one club with the same email address.
Covers
Create, verify, activate and cancel covers, one at a time or in bulk. Add vehicle photos, and approve or decline the drivers listed on a cover. Each cover keeps its status history. When a cover is active, the member gets a PDF Certificate of Cover by email.
Renewals
Covers that are due for renewal show up in one list. Renew each one in one click, instead of finding out when the member rings.
Claims, repairers and payments, handled
The jobs that take up most of the week, each with its own place in the admin.
Claims
Record claims with photos and incident details, and track their progress. Make branded claim PDFs, send referral packs to repairers and e-signature links to owners and drivers. The member gets SMS updates as the claim moves. More on claims.
Repairers
Keep a directory of your approved repairers. The list shows on your club’s website, so members know where to go.
Payments and direct debit
Connect your Pay Advantage account and manage direct debits from Club Cover. Members and payments sync both ways. You also get a payment ledger, manual invoices with PDFs and a recovery list for failed or overdue covers. More on direct debit.
Pricing engine
Your club sets its own pricing model. It powers the online estimate on your website and the price of each new cover. Your prices stay yours.

Every email, certificate and form goes out with your club’s name on it, and a copy stays on the record.
Messages
Email templates for six events: welcome, cover update, claim created, claim update, payment reminder and renewal due. Every email sent is kept in a log. One-way SMS templates and history sit next to them, and a STOP reply opts the member out by itself.
Documents
Edit your Certificate of Cover with a live preview. Upload your club’s own PDF forms and map the fields, so they fill in with the member’s details by themselves.
Terms and conditions
Publish your terms with a version number and send members a link to sign. See who accepted which version, and keep a signed PDF on their record.
Reports, roles and an audit log
See how the club is going without building a spreadsheet, and know who changed what.

Can I use my club's own PDF forms?
Yes. Upload your PDF form and map its fields. It then fills in with the member’s details for you.
